Barcode compliance for third-party logistics providers — supporting multiple client labeling standards, multi-tenant WMS, and relabeling workflows.

3PL Barcode Standards: Meeting Client Requirements

Third-party logistics (3PL) providers face unique barcode challenges: they must support the diverse labeling requirements of multiple clients, each with potentially different symbologies, data formats, and quality expectations.

Multi-Client Barcode Management

A 3PL might simultaneously handle:

  • Client A: gs1-128-term/" class="glossary-term-link" data-term="GS1-128" data-definition="Code 128 subset with GS1 Application Identifiers for supply chains." data-category="1D Linear Symbologies">GS1-128 with SSCC + GTIN + batch
  • Client B: ITF-14 on cases + proprietary internal barcode
  • Client C: Amazon FBA labels (FNSKU barcodes)
  • Client D: Direct-to-consumer shipping with carrier barcodes

Each client's requirements must be maintained in the WMS as a separate barcode profile.

WMS Configuration for Multi-Client

Configuration Purpose
Client-specific barcode profiles Define symbology, data elements, and format per client
Label templates Pre-designed label layouts per client specification
Validation rules Check barcode data against client-specific rules
Scanner profiles Configure scanner prefixes/suffixes per client area

Compliance Labeling

When a 3PL ships to a retailer on behalf of a client, the labels must meet the retailer's specifications:

  1. Receive the client's product with their barcode
  2. Apply additional labels as required by the retailer (SSCC, routing, etc.)
  3. Verify all barcodes meet quality grade requirements
  4. Generate ASN data in the retailer's required format
  5. Ship with all required documentation

Relabeling Workflows

Some situations require relabeling:

Situation Action
Client product barcode does not meet retailer spec Apply compliant overlab
Product sold under retailer's private label Apply retailer GTIN barcode
Product repackaged for different market Apply market-specific labels
Damaged label Replace with identical reprinted label

Quality Control

3PLs should implement barcode quality checks:

  1. Inbound: Verify client product barcodes are readable upon receipt
  2. Pre-ship: Verify all outbound labels meet destination requirements
  3. Random audit: Periodically verify barcode grades with a verifier
  4. Chargeback tracking: Monitor and report retailer compliance chargebacks

Client Onboarding

When onboarding a new client:

  1. Document all barcode requirements (symbologies, data elements, sizes, placement)
  2. Obtain sample labels and scan them to verify scanner compatibility
  3. Configure WMS barcode profiles and label templates
  4. Run a pilot shipment and verify end-to-end barcode compliance
  5. Document procedures and train warehouse staff

Chargeback Prevention

The 3PL is often liable for labeling chargebacks:

Chargeback Type Prevention
Missing SSCC Verify SSCC barcode on every pallet
Wrong barcode data Validate AI data against order
Low print quality Use quality label stock and verify grade
Incorrect placement Follow retailer placement guides
Missing ASN Automate ASN generation from scan data

Best Practices

  • Maintain a compliance library with each retailer's labeling specifications
  • Invest in barcode verification equipment (not just scanners)
  • Train staff on the differences between client requirements
  • Automate label generation from WMS data to eliminate manual entry errors
  • Review and update client profiles annually as requirements change
